Email Routing in the Admin Portal

The Email screen routes Claira's emails by role. An organization admin sets what each role receives; a user only ever mutes their own, from Claira in Discover.

Who receives what

The routing table has one row per email family and one column per role:

Two things are set per family:

  • Sent to — everyone on the case, or only the person the event belongs to (the activator; for background scans, the person who ran the scan). This is the same choice a case's own email preferences offer; saving here applies it to all of your active cases at once. The monthly summary is always per user.
  • The role switches — whether people on that role receive the family at all.

Until you save the table for the first time, every role receives every family, exactly as before the portal.

If an email ends up with no recipient, nobody receives it. Claira does not fall back to sending it to the whole case — an empty audience is treated as a deliberate choice. That is what you want for a restricted family, and what bites if you untick every role, so read the row before you save.

What is not routed here

  • Product news and release notes — a mailing-list subscription each user manages from the unsubscribe link in any Claira email.
  • Each user's own email — a user can mute anything their role receives, for themselves only, from Claira in Discover.
  • Support and operations alerts — a handful of internal notices go to Claira rather than to you.

The delivery log

Every send appears in the log with its family, recipient, role, case and status, plus what the mail provider reported afterwards — delivered, opened, clicked, or bounced. Emails that were suppressed because the recipient's role does not receive that family are listed too, so a missing email is never a mystery.

Filter by family, status or period, search by recipient or subject, and Export the current view as CSV.
