Deleting a case's data
When work in a case wraps up, Claira gives you two related actions: deactivating the case (ending the plan and Claira access) and permanently deleting the case's substantive contents. You can deactivate and keep the data — and reactivate later — or deactivate and delete everything. Deletion is always scheduled with a 7-day grace period, and you can cancel it any time before it runs.
Deactivating a case
- Open Claira inside the case.
- Switch to the Settings mode.
- Scroll to the Danger zone section and click Deactivate Case.
- Choose one of the two options in the confirmation dialog:
Deactivate only. Claira stays available until the end of the current billing period — the dialog shows the exact end date for monthly-invoice cases. Until that date, the Danger Zone shows Deactivation scheduled for {date} with a Cancel scheduled deactivation button, so you can change your mind. All case data is kept, and you can reactivate the case later. For credit-card cases, the subscription is set to end at the period boundary, so there are no further charges.
Deactivate now and delete all case data. This takes effect immediately: access ends, remaining tokens are removed, any credit-card subscription is cancelled without a refund for the remainder of the period, and the deletion of the case's contents is scheduled with the standard 7-day grace period. Because this option is destructive, you must type the case name exactly as shown in the confirmation field.
While a deactivation is scheduled, plan changes, new subscriptions, and token top-ups are blocked for the case — cancel the scheduled deactivation first if you need to make billing changes.
Everyone the case's email preferences cover receives a confirmation email: one for a scheduled deactivation (with the effective date), or a single combined email when you deactivate and delete (with the deletion deadline).
Deleting data from a deactivated case
If you deactivated a case without deleting its data, you can delete it later — no reactivation needed:
- Open Claira inside the case. Because the case is inactive, the activation screen appears, with a Previously active badge (hover over it to see the deactivation date).
- Click Delete all case data permanently… below the plan options.
- Type the case name in the confirmation field exactly as shown, then confirm.
The same screen shows the scheduled deletion once it's booked — All data for this case will be permanently deleted on {date} — with a Cancel scheduled deletion button.
What gets deleted
When the scheduled deletion runs, Claira permanently removes everything about the case's review work:
- All bulk-scan history (the bulk tasks and the per-document results)
- All single-scan history
- All saved prompts and prompt comments for the case
- All Agent-mode conversations (threads and messages)
- All Insights and their revision history
- The case's Case Context (extracted summary, source-document links, and version history)
- Any per-case connected-field configuration
What we keep
Claira deliberately preserves a small set of records needed for financial reconciliation, dispute windows, and SOC 2 audit:
- Billing history (per-case Stripe customer/subscription links and plan-tier history)
- The token usage ledger for the case
- Billing emails sent for the case
- The audit trail of the deactivation and deletion (who requested them, when they ran)
These records do not contain any of the case's review content.
The 7-day grace period
After a deletion is scheduled, Claira waits 7 days before running it. During that window:
- The case's activation screen shows the scheduled date and a Cancel scheduled deletion button (a deactivated case opens to this screen).
- Reactivating the case automatically cancels the scheduled deletion — choosing a plan again means you're keeping the data. The audit log records the cancellation.
- You can cancel the scheduled deletion yourself at any time.
Reactivating a case
A deactivated case can be reactivated at any time from its activation screen: the button reads Reactivate Claira, and the screen carries the Previously active badge. Reactivation starts a fresh plan — tokens removed at deactivation are not restored, but the new plan starts with its full token reservoir. Any pending data deletion is cancelled automatically.
After the deletion runs
Once the deletion executes, the scheduled-deletion notice is replaced with This case's data was permanently deleted on {date}. Billing and audit records remain.
If the deletion fails for any reason, Claira retries automatically. If retries are exhausted, a Deletion did not complete — contact support message appears; please reach out and reference the case before scheduling again.
