Creating fields with Claira

Claira can create Nuix Discover fields for you — from the field settings, from any field picker, or in a conversation with Claira. The field is created in Nuix Discover and connected to Claira in one step, with no composite ID to look up.

One part of the process happens outside Claira, and it is the most important one: a case administrator must grant access to the new field in Nuix Discover before anyone can use it. This page starts with that step, then walks through everything else.

The step that needs a case administrator

When a field is created this way, Nuix Discover gives it no group access at all — not even to the person who created it. Until an administrator grants access, nobody can read or write the field, and Claira shows it as Awaiting admin access.

To unlock the field, a case administrator does this in Nuix Discover:

  1. Go to Case Setup → Fields and open the new field.
  2. On the Security tab, grant read and write access to the groups that use Claira.
Grant both read and write. With read-only access the field may look connected, but scans will fail the moment Claira tries to write a result into it.

If you are not the case administrator, you don't need to remember any of this: after creating a field, Claira offers a Copy instructions for your admin button that puts a complete, ready-to-send message on your clipboard (more on this below).

Create a field or connect an existing one

The field dialog has two tabs:

  • Create in Discover — Claira creates a brand-new field in Nuix Discover and connects it automatically. Use this whenever you need a field that doesn't exist yet.
  • Connect existing — the classic flow: paste the composite ID of a field that already exists. You still need it for:
    • Pick list fields. Claira cannot create these — a pick list created this way would contain no choices to pick from. Create the pick list in Nuix Discover, then connect it.
    • Fields that already exist in the case.
    • Older portals. If the Create in Discover tab tells you your Nuix Discover portal doesn't support creating fields yet, connect an existing field instead.

Creating a field

  1. Open Settings → Fields and select Connect New Field — or, in any field picker, choose + Create new field…. (A picker with no fields to offer shows a create button instead.)

  2. On the Create in Discover tab, enter a field name. One name serves as both the field's name in Nuix Discover and its label in Claira, so pick something your whole team will recognize.

  3. Choose a type:

    • Memo (recommended) — for AI responses: summaries, justifications, any free text. A memo field holds multiple values per document.
    • Text — short single-line values.
    • Number — amounts and counts.
    • Date — dates.
    • Yes/No — yes-or-no determinations.

    Pick list is missing from this list on purpose — Claira cannot create pick list fields (see the troubleshooting below).

  4. Optionally add notes and mark what you plan to use the field for.

  5. Select Create field.

Creating a field is permanent. Fields created in Nuix Discover cannot be deleted or renamed afterwards. The form reminds you of this — take a moment to get the name and type right before you create.

While the field waits for access

Right after creation, the field appears in Claira with the status Awaiting admin access. It is visible in the field pickers but cannot be selected yet. Two buttons help you get it unlocked:

  • Copy instructions for your admin — copies a complete, ready-to-paste message: the case, the field name, and the exact steps to follow in Nuix Discover. Send it to whoever administers the case.
  • Check again — asks Nuix Discover right away whether access has been granted.

You don't need to keep clicking: Claira also re-checks automatically whenever you come back to the app. As soon as access is granted, the field flips to Ready and becomes selectable in every field picker.

Because the administrator step often happens later — or on someone else's desk — it is perfectly normal to create a field, send the instructions, and come back the next day to find it Ready.

Creating fields in a conversation

Claira's agent can suggest and create fields too. It may propose one when your case has no connected fields yet, or when a task you are setting up needs a destination field — and you can simply ask: "Create a memo field for privilege analysis notes."

The agent never creates anything by itself:

  1. It shows a card with a proposed name and type. You can edit both directly on the card.
  2. The field is created only when you select Create field on the card. Because creation is permanent, saying "yes" in the conversation is deliberately not enough — it always takes that explicit click.
  3. After creation, the agent explains the administrator step, exactly as above.
  4. Once access is granted, select Verify field on the card — or simply tell the agent it's done — and Claira confirms the field is ready. If a task was waiting on the field, you can continue it right away.

Creation limits

To protect your cases — remember, created fields are permanent — Claira limits field creation: a few new fields per hour and per day for each case, plus a cap on how many fields can be awaiting access at the same time. The limits are the same on every plan. If you reach one, have the pending fields unlocked, or wait a little and try again.

Troubleshooting

  • "Your Discover role may not allow creating fields." Creating fields requires sufficient rights in Nuix Discover, and your role may not have them. Ask a case administrator to create the field, or connect an existing field instead.
  • The field stays on Awaiting admin access. Access hasn't been granted yet — or it was granted to groups you are not part of, or read-only. Use Copy instructions for your admin to send the exact steps, confirm that read and write were granted to the right groups, then select Check again.
  • Pick list isn't in the type list. Claira cannot create pick list fields — created this way, they would contain no choices to pick from. Create the pick list in Nuix Discover, then connect it from the Connect existing tab (see Fields).
