Code five objective fields in one pass: title, author, recipients, document type and date.

This is a Multi-Code template. Open Quickstart from the Multi-Code card and choose it under Multi-Code: Claira fills the card with the five fields below, each with its own prompt. Each field is given the destination field in your case that has exactly the same name, and a field with no match is marked Choose a destination field.

What this template is for

Objective coding records facts about a document that any reviewer would agree on: what it is called, who wrote it, who it was sent to, what kind of document it is and when it is dated. Running the five as one Multi-Code scan reads each document once and writes all five fields, instead of five separate scans.

Each field uses the prompt of its own template in this library, word for word, so a field coded here reads the same as that field coded on its own.

Step-by-step in Claira

  1. In the Multi-Code card, click Quickstart.
  2. Open Multi-Code at the top of the library, expand Objective coding to read its fields, then click Load into Multi-Code. If the card already has fields, Claira asks before replacing them.
  3. Check each row's Destination field. Rows whose name matches a field in your case are filled in. A row marked Choose a destination field is skipped until you pick one, or create one with Create new field in the picker.
  4. Click Scan Document on 10 to 25 documents and compare the values with your own reading.
  5. When the sample reads well, select the full set in Nuix Discover and click Start bulk scan.

Document Title

Extract the title if clearly provided. For emails, use the subject line. If there is no explicit title, write a brief, descriptive document title for the purposes of an Affidavit of Documents.

Author

Identify the author of this document: the name of the individual and/or organisation that created or sent it. For emails, this is the primary sender. For invoices, this is the company issuing the invoice. For letters, this is the person or organisation that wrote and sent the letter. If both an individual and their organisation are identified, return them as "Individual Name (Organisation Name)". Return the name(s) exactly as they appear in the document, with no commentary. If no author can be determined, return "Undetermined".

Recipients

Identify the recipient(s) of this document: the name of each individual and/or organisation the document is directly addressed or delivered to. For emails, include only the direct ("To:") recipients, never Cc or Bcc. For invoices, this is the person or company being invoiced. For letters, this is the addressee. If both an individual and their organisation are identified, return them as "Individual Name (Organisation Name)". Return unique names separated by semicolons, exactly as they appear in the document, with no commentary. If no recipient can be determined, return "Undetermined".

Document Type

Determine the document’s category based on its content and format. Choose only one of the following values: Document, Correspondence, Spreadsheet, Presentation, Calendar, Chat Conversation, Chat Message, Contact, Drawing, Image, Multimedia, Other. Return only the single best-fitting category with no additional text.

Document Date

Extract the main document date (e.g., invoice date, correspondence date, creation date). Do not use due dates or unrelated dates. Write the primary document date in ISO 8601 format (YYYY/MM/DD). Only provide the date, no other content. If not available, return 1900/01/01.
  • Remove the rows you do not need before scanning. Every row is one more answer the model has to give for each document.
  • For email review, add the address fields with Add field and fill each from its own template in Quickstart: Email From, Email To, Email Cc and Email Bcc.
  • Change a field's wording in the card itself. The template in this library does not change.
  • Author and Recipients answer "Undetermined", and Document Date answers 1900/01/01, when the document does not say. Those values are written to the field. Remove that sentence from the row's prompt if you would rather the field be left Empty, which writes nothing and keeps any value already coded.

Troubleshooting

  • A row says Choose a destination field. Your case has no field with exactly that name. Pick the field you use for it, or create one from the picker.
  • A value went to the wrong field. Claira only fills a destination when the names match exactly, so check the rows before a bulk scan, especially after renaming fields in Nuix Discover.
  • Document Type returns a value outside the list. Restate in the row's prompt that only the listed values are allowed, or narrow the list to the types your case uses.
